Who can do what, and how access is granted.

Overview

Every user has one or more roles scoped to one or more buildings. Roles control which modules appear in the sidebar and which actions are allowed inside each module.

Who uses this

Administrators assign roles. Managers can invite users into roles they themselves hold. Residents are added automatically when their unit is created.

Open the feature

Administration → Users & roles → Roles & permissions.

Step-by-step

  1. Open Users & roles → Users and click Invite.
  2. Enter email, building(s), and role.
  3. The invitee receives an email link and sets a password.
  4. To change a role, open the user and edit assignments.
  5. To remove access, deactivate the user — history is preserved.

Settings & permissions

Standard roles: Resident, Concierge, Security, Property Manager, Board Member, Administrator, Vendor. Custom roles can be defined under Roles & permissions.

Multi-building tips

A user can hold different roles in different buildings (e.g. Manager in Tower A, Board in Tower B).

Notifications

New users receive an invite email. Re-send from the user's profile.

Reports & exports

Export the user list to CSV from Users → ⋯ → Export.

Troubleshooting

  • Invite email didn't arrive. Check spam, then re-send.
  • Wrong sidebar items. The user's role may be missing a module — review Roles & permissions.

FAQ

Can a resident be a board member? Yes — assign both roles.

Do contractors need accounts? Only if they log into the portal; otherwise the front desk logs them as visitors.
